Privacy Notice
This notice explains what personal information LymphAware ID uses, why we use it, who it may be shared with, how long we keep it and the choices and rights available to you.
Privacy Notice v1.3 – last updated 15 October 2026.
For the LymphAware ID service, LymphAware ID determines why and how personal information is processed and acts as the data controller.
For privacy questions, requests or concerns, contact admin@lymphawareid.com.
LymphAware ID is a communication and identification aid for people living with lymphoedema. It is not a medical-record system and does not provide diagnosis or replace professional medical advice.
We aim to collect and display only information that is genuinely needed for the LymphAware ID service. Members decide what optional profile information to enter, can preview what another person will see, and can switch their public QR profile off.
Different information is used for different parts of the service.
Your email address, account identifiers and authentication information needed to create, secure and manage your LymphAware ID account.
Your chosen display name, LymphAware ID and photograph. Your name, photograph and LymphAware ID may appear on your physical card and active QR profile.
Information you choose to enter about your lymphoedema, compression, treatment considerations, assistance needs and other relevant information. Health information is special-category personal data and receives additional protection.
If you choose to add one, we may hold the person’s name, relationship to you and telephone number. This information is provided by you, not collected directly from the emergency contact.
Membership package, delivery information, order history, payment status and related transaction information. Full payment-card details are handled through Stripe; LymphAware ID does not store your full payment-card number. If automatic renewal is active, the Patient Portal can open Stripe’s secure payment-method management screen so you can update an expired, replaced or changed card.
Messages you send to LymphAware ID, service communications, renewal and profile-review reminders, essential technical/security information and records needed to administer the service.
If you register your interest before launch, we collect your email address, optional first name, optional general feedback and interest selection, the source of the registration, and a record of your consent and email confirmation. These records are separate from membership and patient profiles. We use your confirmed consent to send launch and related service-update emails. We review general feedback to improve the service; please do not submit health or other sensitive personal information in this form.
We use account, order and service information to create and manage your account, provide the membership and card services you request, take and fulfil orders, provide support and protect the service.
For processing that is necessary to provide the LymphAware ID service you have requested, our lawful basis under Article 6 UK GDPR is performance of a contract. Where we must retain information to meet tax, accounting or other legal requirements, we may rely on legal obligation.
We may rely on legitimate interests for proportionate service-security, fraud-prevention and support activities, and for processing minimal emergency-contact information so that a member can nominate someone who may be contacted when appropriate. We balance those interests against the rights and interests of the people concerned.
Before a non-demo LymphAware ID profile stores health information or can be made publicly available through its QR link, we ask the member for a separate, explicit statement of consent. Our special-category condition is Article 9(2)(a) UK GDPR – explicit consent.
Consent is recorded with the wording/version and a server timestamp. It is separate from membership and can be withdrawn.
A QR profile is designed so another person can open it without having a LymphAware ID account. When your profile is switched on, anyone who has the QR link can view the information you have chosen to display.
QR profile links use non-sequential tokens and public profile pages are marked so they are not intended to be indexed by search engines. These controls reduce accidental discovery but do not make an active QR profile private.
Profile information is provided by the member and is not clinically verified by LymphAware ID. Do not use a LymphAware ID profile as a medication record or as a substitute for medical advice, professional assessment or emergency care.
You can preview your profile, update the information you have entered and switch QR-profile visibility off from the Patient Portal.
If you withdraw your health-data consent through My Profile, LymphAware ID switches off your QR profiles and removes the stored health, assistance, emergency-contact and translated profile information covered by that withdrawal. Your account, membership, photograph and LymphAware ID can remain unless you separately delete your account.
Additional languages
If you choose an additional-language package, selected patient-written fields from your main English profile may be processed automatically using OpenAI through Netlify AI Gateway to prepare the translated version.
We ask for separate, explicit agreement before this translation processing is used. The automated translation is not presented as a clinical or professional translation. Keep your English source profile accurate and contact LymphAware ID if translated wording appears incorrect.
We do not send your password, payment details, delivery address, photograph, emergency-contact name or emergency-contact telephone number to the translation service. Only profile fields that need translation are sent.
LymphAware ID uses established service providers rather than building every part of the infrastructure itself.
Authentication, database, storage and related backend services. The main LymphAware ID project is configured in a European hosting region.
Website hosting, server functions and the AI Gateway used in the additional-language workflow.
Checkout and payment services. Stripe may act as our processor for some activities and as an independent controller for some processing under its own terms.
Transactional and service email delivery. Email addresses, message content and delivery information may be processed to send LymphAware ID communications.
For members who have agreed to additional-language processing, selected profile text is processed to prepare the translation.
We may also use professional advisers or other providers where genuinely necessary. We do not sell members’ health-profile information to advertisers.
Some service providers or their subprocessors may process personal information outside the United Kingdom. Where UK personal information is transferred internationally, we review the provider’s contractual arrangements and rely on recognised transfer mechanisms and safeguards where required, such as adequacy arrangements, the UK Extension to the EU-US Data Privacy Framework, Standard Contractual Clauses and the UK International Data Transfer Addendum, depending on the provider and transfer.
Our provider arrangements should be reviewed periodically because providers, subprocessors and transfer mechanisms can change.
We limit the information sent to each provider to what is needed for that part of the service. For example, payment providers do not need your lymphoedema profile, and the translation service does not receive your photograph or emergency-contact telephone number.
If a member adds you as their emergency contact, LymphAware ID receives your details from that member. We ask the member to show or send you our Emergency Contact Privacy Information and to confirm that you know and agree that your contact details are being added.
If the current emergency-contact privacy confirmation has not been recorded, LymphAware ID does not include those contact details in the public QR response.
You can ask the member to remove or change your details, or contact admin@lymphawareid.com. You can also object to processing based on legitimate interests and exercise the other rights that apply to you.
Account and membership information: normally while the account/membership is active and for only as long afterwards as needed for administration, legal claims or other lawful purposes.
Health-profile information: while you choose to keep it in your profile and the relevant processing condition remains active. Withdrawing health-data consent removes the health-profile information covered by that withdrawal from the active service.
Consent/privacy records: retained as an accountability record for a proportionate period after the relevant processing ends.
Orders and financial records: retained for the period required by applicable tax and accounting rules, which may be several years.
Pre-launch interest list: We retain confirmed contact details only for the launch and related updates you requested, subject to periodic review. We will review the list within 90 days after launch and delete or anonymise entries no longer needed. You can withdraw email consent at any time using an unsubscribe link, or by contacting admin@lymphawareid.com. Limited suppression information may be retained to prevent further unwanted messages. General suggestions are reviewed and deleted when no longer needed.
Support enquiries: kept only as long as reasonably needed to resolve the issue and maintain an appropriate service record.
Deleted information may remain temporarily in protected service-provider backups until normal backup rotation removes it.
LymphAware ID maintains an internal retention schedule. Information should not be kept indefinitely simply because storage is available.
The rights that apply depend on the circumstances and lawful basis.
You can ask for a copy of personal information LymphAware ID holds about you and related information about how it is used.
You can ask us to correct inaccurate information. Members can also update much of their own profile information directly.
You can ask us to erase or restrict processing where the legal conditions for those rights apply.
Where the right applies, you can ask to receive information you provided in a commonly used, machine-readable format.
You can object to processing based on legitimate interests. We will consider the circumstances and any compelling legitimate grounds.
You can withdraw consent at any time. Withdrawal does not make processing carried out before withdrawal unlawful.
To exercise a right, contact admin@lymphawareid.com. We may need to confirm your identity proportionately because LymphAware ID can hold sensitive health information. We normally respond without undue delay and within one calendar month, subject to any lawful extension.
LymphAware ID uses access controls, authenticated member accounts, database row-level security and service-provider security controls to protect information. No online system can remove all risk, so security is reviewed as the service develops.
We maintain an internal process for recording, assessing, containing and responding to personal-data breaches and for notifying the Information Commissioner’s Office and affected individuals where the legal thresholds require it.
LymphAware ID does not use profile information to make solely automated decisions about a person that produce legal or similarly significant effects. Automated translation prepares language versions; it does not diagnose, assess or make treatment decisions.
If you are concerned about how LymphAware ID has handled personal information, please contact admin@lymphawareid.com first so we can investigate.
You also have the right to complain to the Information Commissioner’s Office, the UK data-protection regulator. Visit ico.org.uk for current complaint information.
We review this notice when the service, data fields, providers, translation arrangements or legal requirements change. Material changes that affect how we use personal information should be brought to members’ attention before the new processing begins.
