Terms of Use

Using the LymphAware ID website.

These terms explain the basis on which the LymphAware ID website and available online services are provided.

Last updated: 9 October 2026

About these terms

LymphAware ID is a communication and identification service for people living with lymphoedema.

These terms apply to use of the website and the online features currently made available. Additional or updated terms may be introduced where new services or features require them.

By using this website, you agree to use it lawfully and responsibly.

An evolving service

LymphAware ID will continue to develop and improve, so features, processes and website content may change over time.

Information about planned features should not be taken as a guarantee that every feature will be introduced exactly as currently described.

Automatic renewal

An optional lower renewal price

Automatic renewal is optional and is not selected for you. If you choose it during checkout, your digital membership renews at the price and for the membership term shown before payment.

The first payment includes the joining package, physical items and postage described at checkout. Later automatic renewals continue your membership, secure Patient Portal and QR profile access only. They do not include new or replacement cards, lanyards, holders or postage.

Before you agree to pay, LymphAware ID shows the package, fixed term, initial total, renewal amount and frequency, reminder timetable, cancellation method and cooling-off information together in the joining journey. Your membership is not active unless Stripe confirms that payment has succeeded.

Renewal term and changing your choice

Automatic renewal repeats the same package and the same one-, two- or three-year membership term selected when you joined. LymphAware ID will not change the length of your renewal or charge for a different term without your express agreement.

At present, if you want a different membership length at renewal, cancel automatic renewal in your Patient Portal and contact LymphAware ID before your current term ends. The replacement term, price and payment arrangements will be confirmed with you before any new payment is taken.

You remain in control

You can cancel automatic renewal from your Patient Portal before the renewal date. Cancelling does not shorten the membership term you have already paid for.

If the payment card linked to automatic renewal expires, is replaced or otherwise changes, you can use Update payment method in the Membership section of your Patient Portal. The secure payment-method screen is provided by Stripe. LymphAware ID does not store your full payment-card number.

If automatic renewal is active, we plan to send an advance reminder 60–45 days before the renewal date and a final reminder 14–7 days before it. Stripe may also send an additional payment reminder. Each reminder will state the payment date and amount and explain how to cancel online.

If the renewal price changes, LymphAware ID will tell you before the affected automatic-renewal payment. A price change does not create an immediate charge. If there are at least 60 days before the next renewal, the new price may apply at that renewal after notice has been sent. If the next renewal is already within 60 days, that imminent renewal keeps the existing agreed price and the new price is queued automatically for the following renewal instead. Existing automatic-renewal arrangements are therefore not moved to a higher price without advance notice, and you can cancel automatic renewal before any renewal date without shortening the membership term you have already paid for. A later additional-language purchase moves an active automatic renewal to the current equivalent Multilingual renewal price for the same term and renewal date.

LymphAware ID has chosen to introduce clear pre-contract information, written renewal reminders, online cancellation and a renewal cooling-off process ahead of the UK subscription regime anticipated for spring 2027. The final secondary legislation and government guidance are still awaited, so these terms and processes will be reviewed when they are published.

Cooling-off and cancellation

Clear online cancellation

You may tell us that you want to cancel within 14 days of first joining. You can submit a cooling-off cancellation request from your Patient Portal or contact admin@lymphawareid.com. When a request is submitted online, the initial order is paused from further fulfilment and any future automatic renewal is stopped while the request is reviewed. Any refund, and any permitted deduction for a service or personalised item already supplied at your request, will be handled in accordance with your statutory rights.

When a membership is renewed for a term of 12 months or more, LymphAware ID provides a further 14-day renewal cooling-off period for both automatic and member-initiated renewals. We will email you when the renewal is paid and show the deadline in your Patient Portal. If an early member-initiated renewal is cancelled during this period, any earlier paid membership term that has not yet expired continues until its original expiry date.

Cancel a renewal online

During the renewal cooling-off period, select Cancel this renewal and request refund in your Patient Portal. The renewal payment will be submitted for refund to the original payment method. If the member renewed early and their previous paid term is still running, that earlier term remains active until its original expiry date; otherwise renewed access ends when the cancellation is completed.

You will receive written confirmation. Banks and card providers may take several working days to display a submitted refund.

What LymphAware ID provides

LymphAware ID is designed as a communication and identification aid for people living with lymphoedema.

Information

The public website provides information about LymphAware ID, its purpose and the services being made available.

Communication support

LymphAware ID is intended to help people communicate information they have chosen to make available.

Not medical advice

Information in a member’s QR profile is provided by the member and is not clinically verified or approved by LymphAware ID. LymphAware ID does not provide medical diagnosis and does not replace medical records, professional medical advice, assessment or appropriate clinical care.

Information on this website

We aim to keep information clear, accurate and useful as LymphAware ID develops.

Website content may be updated, corrected or changed as the service develops and appropriate review takes place.

Appropriate use

You must not deliberately misuse this website, interfere with its operation or attempt to gain unauthorised access to areas, systems or information that you are not entitled to access.

You must not use LymphAware ID in a way that is unlawful or that deliberately compromises another person's privacy or security.

Additional rules may apply to particular account, ordering or QR-profile features where appropriate.

Delivery and international charges

Choose the correct delivery country

The delivery country selected before payment determines the postage and packing charge. Stripe will collect the full delivery address and will only accept an address in that selected country. If the country is wrong, return to the previous step and change it before paying.

Postage and packing covers LymphAware ID’s charge for preparing and sending the order. For delivery outside the UK, the destination country or delivery provider may separately charge import VAT, customs duties, clearance fees or local handling charges. Unless LymphAware ID expressly states that these charges are included, they are the customer’s responsibility.

Taxes shown at checkout

The price and any taxes collected by LymphAware ID will be shown before payment. A destination authority may still impose an import charge that is not collected by LymphAware ID.

Information you add to your profile

Members are responsible for keeping the information they enter accurate and reasonably up to date. LymphAware ID does not clinically verify, approve or endorse member-entered health information.

LymphAware ID is not intended to be a medication record. Members are asked not to enter medication names, doses, schedules or prescribing instructions. If medication information is entered despite this guidance, it remains member-provided information and must not be treated as clinically verified or as the sole source for treatment decisions.

Emergency contacts

Only add another person as an emergency contact with their knowledge and agreement. Their name, relationship and telephone number may be displayed to anyone who accesses an active QR profile. Members should share the Emergency Contact Privacy Information with them.

Availability

We aim to make the LymphAware ID website available reliably, but websites and online services can sometimes be interrupted by maintenance, technical problems or circumstances outside our control.

LymphAware ID should not be relied upon as the sole source of information required for urgent medical assessment or treatment.

External websites

LymphAware ID may provide links to relevant external organisations or resources.

External websites are operated independently and their content, availability and privacy practices are outside LymphAware ID's control.

Additional service terms

If new LymphAware ID features or services require additional terms, those terms will be presented clearly before they apply.

This helps keep the information relevant to the service a person is actually using.

Changes to these terms

These terms may be updated as LymphAware ID develops or as the services provided change.

The current version published on this website will describe the terms that apply to use of the website at that time.

Clear, fair and understandable.

As LymphAware ID develops, its terms should remain proportionate to the service being provided and understandable to the people who use it.

Additional Languages

How translated profiles are prepared

Customers do not need to translate their own information. Where an additional-language package has been purchased and explicit agreement has been given, LymphAware ID uses an automated translation service to prepare and automatically maintain the translated version from the main English profile.

Translation is prepared automatically and is not presented as a clinical or professional translation. Customers should keep their main English profile accurate and contact LymphAware ID if translated wording appears incorrect.

English remains the source

Empty English fields remain empty in the translated profile. When the English profile is updated, the translated version may be refreshed automatically; its current version can remain available while the refreshed version is prepared.
